New Features - Billing

Rich Text Formatting

A rich text editor has been added to the Narrative tab of the Fee wizard. This is also available on Fee Narratives at Service and Job levels.

Billing Types

New billing types of Based on Job and Based on Schedule have been created to allow bills to be marked as ready to be billed when certain triggers have been met.

  • Based on Job – the job will become available for billing and will display in the Billing Portfolio when the Job is marked as Complete.
  • Based on Schedule – the job will become available for billing according to the Billing Schedule applied to the Job.
  • Manual – the job can be manually drafted from the Client dashboard, The New Draft Fee page or from certain portfolios within the billing portfolio.
  • Recurring – the job can be included in recurring fees.

Allocation Types

The Allocation of WIP when billing can be defined based on new Allocation Types. These allocation types are set against the job and determine when in the billing process the WIP is allocated to the bills. The available allocation types are:

  • Automatic Pro Rata when Closed
  • Manual when Closed
  • Automatic per bill
  • Automatic recalculate per bill
  • Manual per bill.

Billing schedules

Billing schedules can be applied to jobs with a billing type of Based on Schedule. These allow for multiple bills to be raised against a job at specified trigger points. The available triggers are based on the Job WIP value, the Job WIP % value, dates or task completion. Each scheduled bill can have different values and narratives associated with it.

Change Orders

Functionality to create Change Orders from Out of Scope time has been added. Change Orders can either be raised as individual bills or can be included as part of a scheduled bill.

Out Of Scope

Out of Scope time can be reviewed and included as part of a change order and subsequently billed.

Billing Portfolio

The Billing Portfolio has been updated to the V9 styling. Additionally, new portfolios have been added to display jobs that are available for billing when complete, when a task is complete or when scheduled triggers have been met. There are also new portfolios to manage Change Orders, Out of Scope time and for WIP Allocation.

Many of the Billing Portfolios have an option to view Everyone’s.

An option to view by Office has been added to the Job Owner WIP portfolio.

WIP Allocation

The WIP Allocation portfolio within the Billing portfolio allows for the WIP allocation of Jobs that had an allocation type of Manual when closed once they have been billed.

Merged and Combined Fees

The ability to create individual bills and either Merge or Combine them into a single master fee has been added.

In both cases a primary bill is selected, and additional fees are associated with that bill.

Merged fees create a single master bill but the underlying individual bills are retained, allowing the analysis to be credited to the associated partners and managers on the individual bills.

Combined fees create a single master bill into which the individual fees are merged
and the partner and manager on the primary bill will be credited.

Billing Administration

A new Billing Administration page has been added. This page provides a centralised view that includes:

  • Bulk Fee Printing
  • Recurring Fee Generation
  • Recurring Fees Admin
  • All Drafts
  • Billing Schedule Templates
  • Settings
  • Draft Fee Confirm Queue
  • Auto Fee Draft Queue

Billing Settings

Additional settings have been added to store DMS (Document Management System) details to allow fees to be emailed to a document management system.

Recurring Fee Admin

A new Recurring Fee Admin page has been added that displays all recurring fees in the system allowing them to be edited or deleted from a central location. New recurring fees can also be created from here.

Unlinked Credit

Unlinked Credit’s allow the creation of a credit entry against the client’s DRS ledger without being linked to a fee.

Draft Fee Wizard

The Draft Fee Wizard has been rewritten and restyled. It also includes an additional tab to set actions prior to the fee being confirmed.

Menu search

A Search option has been added to the Home menu to allow users to search for a menu item.

 


Modifications - General

Menus

The Details pages for Staff, Client and Contact have moved into the frequently used pages at the top of each Menu section. They are no longer on the Task Pad. Each page is called Details and will open the tabbed Details page for the menu area.


Modifications - Timesheets

Timer

The Timer has been rewritten to resolve issues surrounding the recorded time. In addition, if the timer has been used a Timer History icon will be displayed within the inline view with details of when the timer started and stopped.


Modifications - Jobs

Job Billing

Details The Job Billing Details panel contains additional fields to set the Billing Type, Allocation Type, Billing Email, Billing Layout, and Target Recovery Rate.

An enhanced billing narrative section has been included that allows the use of Rich Text Formatting and Placeholders.

Options to automatically send a copy email of the fee to the Partner, Manager, In Charge, Biller, Credit Controller or a DMS (Document Management System) have been added.

Automatic actions of Draft, Draft and Confirm or Draft, Confirm and Email have been added and will be displayed when the Billing Type is set to Based on Schedule or Based on Job.

Job Management details

A Biller field has been added to the Management panel of the job. This field helps to filter various portfolios within the Billing Portfolio.

A Percentage Complete field has been added. This is for information purposes only and must be manually entered.

Job Budget Details

A Budgeted Expenses field has been included on the Budget panel. This is for information purposes only and must be entered manually.

Job Grids

Additional columns for Allocation Type, Biller, Billing Layout, Billing Template, Billing Type, Client Industry, OOS Handling, Service Partner and Service Manager have been added to the available columns for Job grids.

Update of Staff pages

The following pages within the Staff Menu have been updated to be V9 styling:

  • Leave and TOIL Adjustments/ PTO Adjustments

Modifications - Billing

Fee Storage?/Generation

The PDF of a fee is now stored when generated for the first time to speed up bulk printing and reprinting of fees. Layouts can be configured to always require regeneration. The PDF data is stored on the file system for local installs or in an Azure storage account for hosted installs.

Recurring Fees

The Client Recurring Fees page has been restyled to V9 styling.

Only jobs that have a billing type of Manual or Recurring Fee can be included in a recurring fee.

Billing Types

An additional billing type of Progress has been added to the Billing wizard. This is now the default billing type.

Final Bills will now have the effect of closing ang jobs attached and writing off any WIP that is not being billed.


Modifications - Admin

Categories

An additional category has been added to Main Categories to set the fonts that are available for use in billing.

A new category has been added to Special Categories to set Billing Layout options for each organisation and layout type.

Staff Maintenance Portfolio

The Staff Maintenance portfolio has been converted to V9 styling Questionnaires The Watermark, height and width options have been removed from the Questionnaire details page.

Period End

The Period End page has been restyled to V9 styling.

Create Leave/PTO Accruals

The Create Leave/ PTO accruals page has been restyled to V9 styling.

Create Leave/PTO Adjustments

The Create Leave/PTO Adjustments page has been restyled to V9 styling.

Leave Approvals

The individual leave approval pages have been incorporated into a single page which is managed by permissions. The Approver will only see leave requests they have permission to approve.

Integration pages

The Integration pages have been restyled to V9 styling.

A new Integrations administration page has been included.

System Lockout Settings

The System Lockout page has been restyled to V9 styling.

An In Charge field has been added to the Client Ownership section of the Client Details.
